Terms & Conditions
The rules for working together, written so you can read them in one sitting.
Who these terms are with
These terms cover your use of this website and any service you buy from Vocoworks, a business based in Gurugram, India. By using the site or paying us, you agree to them. If you're signing up for a clinic or company, you're confirming you're allowed to.
What we do
We set up and run WhatsApp automation for businesses, mostly clinics. We build websites. We design brand identities, from a single logo to full guidelines.
What a project includes is agreed with you in writing before you pay, and an email or a WhatsApp message counts as writing. Anything that isn't in that agreement isn't included.
Getting started
For WhatsApp automation we need your clinic details and access to your Meta Business account, and we can't go live without both. Onboarding takes about 10 days from the point we have them. A website takes about 2 days and branding 5 to 10 days, counted the same way.
Those are estimates. If something is held up on your side, such as missing content or a slow approval, the date moves with it.
Fees
WhatsApp automation has a one-time setup fee and a monthly fee. The monthly fee covers up to 300 bookings a month and Meta's messaging charges. Above 300 bookings, extra charges apply, and we'll agree the rate with you before it starts.
Websites and branding are quoted per project, in writing. A website may also carry a monthly fee for hosting and upkeep, which the quote will state. Taxes such as GST are added where they apply. The fees in your written agreement are the ones that count.
Paying us
Websites and branding need 50% upfront before we start. The rest is due when the work is finished, before we hand over the final files. Monthly fees are billed in advance.
We'll send an invoice, and we ask that you pay it within 7 days. If a payment is late, we may pause the work or the service until it's settled.
Revisions and approvals
Each website and branding project includes 2 rounds of revisions. A round is one set of changes, sent together. Extra rounds, or changes beyond what we agreed, are quoted separately.
When you approve a stage, we move on to the next one. Going back after that costs time, and we may charge for it.
Your content
You're responsible for the text, photos, logos and other material you give us, and for having the right to use them. If you hand us something that belongs to someone else, that's on you.
Please read what we build before you approve it. You know your services better than we do, and what your website or assistant says about them is your call.
Who owns what
You own your business's content and your patient data. When you've paid in full for a website or a brand design, the final files are yours to use. Until then they aren't.
We keep our own tools, templates, code and working files, and we aren't obliged to hand those over. Fonts, stock images and plugins may carry their own licences, and we'll point those out.
Showing our work
We may show finished work in our portfolio and on social media, with the client's name and logo, unless you tell us in writing that you'd rather we didn't. We never show patient information or private chats.
Cancelling and refunds
You can cancel a monthly plan whenever you like. Tell us before your next billing date and you won't be charged again. We don't refund a month you've already paid for.
The WhatsApp setup fee is non-refundable once onboarding starts. The 50% upfront payment on a website or branding project is non-refundable once work starts, because that's when we commit our time to you. If you change your mind before we start, write to us and we'll work something out.
Messaging your patients
You're responsible for having the right to message your patients on WhatsApp, including their consent where the law or WhatsApp's rules require it. WhatsApp's business policies apply to your number.
What the assistant won't do
The assistant books, reschedules, sends reminders and answers routine questions. It doesn't diagnose anyone, it doesn't quote treatment prices, and it isn't a clinician.
It also isn't an emergency service. It flags messages that sound urgent so your team can act on them, but a flag is not a phone call. Anyone in an emergency should contact local emergency services. Your team stays responsible for clinical decisions.
Other companies' platforms
Our services run on platforms we don't control, including WhatsApp, Meta, Google and Cloudflare. Their rules and prices can change, and they can limit or suspend an account. Those decisions aren't ours. We'll help you work through them, but we can't promise how a platform will rule.
Keeping things running
We aim to keep the service running every day, but we rely on providers like Meta and can't promise it will never go down. If something breaks on our side, we'll fix it fast and tell you what happened.
Limits on our liability
We'll do the work with reasonable care. We aren't liable for lost bookings, lost profit or other indirect losses caused by things outside our control, such as a WhatsApp outage. Where we are liable, the total is capped at what you paid us in the 12 months before the problem.
Nothing here limits a liability that the law doesn't allow us to limit.
Using this site
Please don't try to break the site, misuse it, or copy our content or branding without asking first. How we handle information is in our Privacy Policy.
Changes to these terms
We may update these terms. If a change affects you, we'll tell you before it applies and move the date at the top. If you keep using the service after that, you accept the new version.
Governing law
Indian law governs these terms, and the courts in Gurugram, Haryana have jurisdiction. That holds even if you're outside India. We'd always rather talk a problem through first.
